Your privacy
This notice explains how Ease Finance collects, uses and protects your personal data. Last updated 28 October 2026.
Who we are
Ease Finance is the trading name of Pranav Malhotra, an accounting practice based in London. We are the data controller for the personal data described in this notice. You can contact us at pranavmalhotrauk@gmail.com.
What we collect
- Enquiries: your name, email, phone number, company name and anything you tell us through our contact form or by email.
- Clients: the information needed to provide our services, such as identity documents, company and tax records, bank records and payroll data.
Why we use it and our lawful basis
- To reply to your enquiry and arrange a health check, based on your consent and our legitimate interest in responding.
- To provide our services under our engagement letter, as necessary to perform our contract with you.
- To meet legal obligations, including anti money laundering checks, record keeping and filings with HMRC and Companies House.
Who we share it with
We never sell your data. We share it only where needed to run our services: our website and form host (Netlify), our email and cloud accounting providers (such as Xero or Sage), and HMRC, Companies House or other authorities when we file on your behalf or where the law requires it.
How long we keep it
Enquiries that do not lead to an engagement are deleted within 12 months. Client records are kept for at least 5 years after our relationship ends to meet anti money laundering rules, and for longer where tax law requires it.
Cookies
This website does not use advertising or analytics cookies. Fonts are loaded from Google Fonts, which receives your IP address to deliver them. If we add analytics in future, we will ask for your consent first and update this notice.
Your rights
You can ask to access, correct or delete your data, to restrict or object to how we use it, or to receive a copy in a portable format. Email us to make a request and we will respond within one month.
Complaints
If you are unhappy with how we handle your data, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk.
